The rule I use is not 'carry as much fuel as possible' or 'keep the aircraft as light as possible'. It is: plan the flight so the pilot still has good options if the day does not go exactly as forecast. That means looking at fuel, weight, weather, alternates, performance and decision points together, not treating fuel as a separate number on the page.
A simple example is a training flight where the weather is legal but uncertain along the route. Rather than loading extra fuel and pushing the aircraft closer to a less efficient or less flexible operating point, the better decision may be to plan an earlier fuel stop, shorten the route, delay departure or set a clear turn-back point.
That teaches the right habit. Good flight planning is not about protecting the original schedule at all costs. It is about keeping enough margin that the pilot can make calm decisions before fuel, weather or weight becomes a pressure problem.

Add Margin for Strong Headwinds

Flight planning teams study winds aloft charts and models to see how strong headwinds may slow the aircraft. When the average wind on the route is high, the trip time grows, so more contingency fuel is loaded. Planners also add a buffer because wind forecasts can be off by a fair margin.
